AI Pathfinder Workshop

AI Pathfinder Workshop

Find the Right Starting Point for AI

Your people know where the work slows down, where it piles up, and what it costs to leave it that way. AI Pathfinder turns that knowledge into a defensible decision: which process should you improve with AI first, and why that one? We examine up to three processes your organization runs, score each on business impact and implementation complexity, and rank the opportunities together. In approximately two to three weeks, you have a roadmap grounded in your people’s input, your operational realities, and the numbers your team provides.

In a focused 75-minute working session, your business and technology stakeholders compare priorities, examine what the current state is costing, and decide which opportunity deserves attention first. Within five to seven business days, you receive a scored assessment. A one-hour readout follows, giving leadership the chance to question the findings, challenge the recommendation, and make the call.

Business-led. Microsoft-grounded. Focused on how your work runs.

Move From AI Interest to a Decision

Most businesses do not lack ideas for using AI. The real challenge is deciding which idea should come first.

Operations teams may want to reduce manual work, customer service teams may be exploring automation, and leadership may be looking for an AI strategy that can deliver practical value. Without a structured way to evaluate these opportunities, discussions can continue for months or lead to disconnected experiments that do not address a clear business need.

AI Pathfinder begins with the way your organization works today. Instead of starting with a product or a predetermined solution, the workshop examines your current workflows, process bottlenecks, manual activities, and operational priorities. This gives your team a clearer basis for deciding where AI or automation may make a meaningful difference and what should happen next.

What AI Pathfinder is

AI Pathfinder is a structured AI and automation discovery workshop for businesses that want to build an AI strategy but are uncertain about the right starting point.
During the session, your team walks through real workflow scenarios with an experienced facilitator. The discussion focuses on how work is completed today, where delays or repeated manual effort occur, and whether AI or automation could improve the process. This is not a general presentation about AI. It is a practical working conversation designed to produce something your business can use.
Following the workshop, IFI Techsolutions prepares a professional assessment containing scored process evaluations, prioritized opportunities, specific solution recommendations, timeline guidance, Azure service mapping, consumption estimates, and a recommended follow-up action.

How the AI Pathfinder Workshop Works

Capture key workflows, challenges, inefficiencies, and AI opportunities through a guided pre-session assessment.

Before the live session, each participant spends about 30 minutes with Tara, who guides the initial intake. Participants respond in their own words, and Tara adapts the conversation based on their answers. Because IFI Techsolutions built Tara, the pre-work also gives your team a practical look at our approach.

Tara captures:

  • The processes each person runs or owns
  • Manual and repetitive work
  • Delays, bottlenecks, and the workarounds nobody documented
  • Volumes, cycle times, and rough numbers
  • Systems, and the points where data gets re-keyed between them
  • What it costs to leave things as they are
  • Where each person thinks AI or automation could help

With three to five participants, that’s two to three hours of structured interviewing banked before anyone joins a call. It’s the reason the live session only needs 75 minutes.

Deepen our understanding of how the work actually runs

In a 75-minute working session on Microsoft Teams, three to five of your business and technology people discuss how the selected processes really operate.

Before you arrive, we take what Tara captured and sketch each process on a SIPOC (suppliers, inputs, process, outputs, customers), a Lean Six Sigma framework that gives business and technology stakeholders one shared way to see the same work.

The sketches are deliberately incomplete, because people are better at correcting a bad version than producing a good one from scratch. Your team’s job is to tell us what we got wrong, what’s missing, and what we oversimplified. Your corrections provide the depth.

Then your team decides the ranking. Which process would create the most visible change? Which one is costing the most in time, money, or risk? Which is realistically the easiest to move? And the question that carries more weight than any scoring model: if you could only transform one of these in the next 90 days, which one would it be, and why?

Your team answers together, in front of each other. We facilitate; your team decides.

Get a Full, Scored Assessment and decide

Within five to seven business days, IFI Techsolutions schedules a readout to present the findings. The assessment covers each workflow explored during the workshop. It provides a scored evaluation, identifies the strongest opportunities, and explains how those opportunities could be addressed.

What’s in the assessment

Your assessment will cover seven important areas: your processes, the case for action, options, next steps with estimates, service mapping, readiness findings, and an AI capability map. More specifically:

Your processes, ranked.

Each process is scored on Business Impact (1 to 10) and Implementation Complexity (1 to 10), then placed in one of four quadrants: Start Here, Plan for This, Backlog, or Defer. Every score ties directly to your team’s input. Each carries a confidence rating, with each Medium or Low rating followed by an explanation of what we couldn’t resolve.

The case for action.
The cost of current inefficiencies calculated using your own data.

Three options for every process.

Each option is a real choice, and they build on each other:

Tier 1, Managed

The process keeps its current shape, and the manual steps come out of it. Often this is straightforward digitization with little to no AI in it, and when that’s the honest answer we say so plainly. It is also frequently what makes the next tier possible, because clean, consistent data is what AI needs to reason over.

Tier 2, Integrated

The process is rebuilt with AI reading, extracting, and drafting at several steps, so work that waits on a person at every step stop waiting. Your people make every decision that matters or requires human judgement. This is the tier most processes land on.

Tier 3, Agentic

An AI agent pursues the outcome from end to end while your people oversee it and handle the exceptions. It needs something to stand on: proven rules and a track record, which a running Tier 2 is what produces.

Benefits of the AI Pathfinder Workshop

Identify a Practical AI Starting Point

Instead of beginning with a long list of technologies, your organization receives a prioritized view of where AI and automation may provide practical value. The workshop helps your team compare opportunities and identify a use case worth exploring further.

Bring Business and Technology Teams Together

AI initiatives often slow down when business teams focus on outcomes while technology teams focus on systems, data, security, and implementation. Mapping a real process together gives stakeholders a shared view of the workflow, its challenges, and the requirements that may influence a future solution.

Evaluate Opportunities Before Making a Larger Commitment

An AI idea may sound promising but still depend on incomplete data, unclear ownership, or a process that is not ready for automation. The scored assessment helps your organization examine these opportunities before committing to a pilot or broader project.

Connect Recommendations to Real Workflows

The workshop does not force your business into a standard solution. Recommendations are based on the selected, the challenges identified, and the findings from the session. processes

Understand Relevant Azure Services

Every assessment includes Azure service mapping and consumption estimates. Depending on the opportunities identified, recommendations may include Azure OpenAI, Azure AI Foundry, Azure AI Document Intelligence, and Microsoft Copilot Studio.

Leave With a Clear Next Step

The engagement does not end with workshop notes or a general list of ideas. Your assessment includes a specific follow-up recommendation that can support further evaluation, internal alignment, technical validation, or consideration of a pilot.

Who AI Pathfinder is for

AI Pathfinder offers real improvement for organizations with operational complexity, manual work, multiple systems, and a genuine intent to move on AI, regardless of industry.

Run repetitive or manual processes that eat real hours

Have processes that cross several teams, systems, approvals, or handoffs

Are exploring AI but haven’t picked a first-use case

Need an AI plan grounded in business requirements rather than product capability
