About the Organization

The Indian Red Cross is one of India’s largest humanitarian organizations, working through a nationwide network of more than 1,200 branches. The organization supports disaster response, healthcare services, and community welfare programs, coordinating activities and resources at national, state, and district levels.
As operations expanded over time, the organization needed a more reliable and consistent way to manage day-to-day activities and report across its branch network.

Challenge
The Indian Red Cross Society was using an older, legacy Navision ERP system to support operations across different warehouses. As the organization grew, the system became harder to manage at scale. Key challenges included:
    1. Data spread across locations
Information related to funds, inventory, and transactions was maintained separately at different levels, which slowed consolidation and reporting.
    2. Manual and semi-automated processes
Activities such as invoicing, payments, inventory updates, and compliance reporting required significant manual effort, increasing processing time and the chance of errors.
    3. Limited visibility into resources and stock
There was no easy way to view real-time information on fund usage, inventory levels, or stock movement across branches.
    4. Access issues during field and disaster-response operations
Teams found it difficult to access systems from multiple locations, especially during emergency response situations.

Modernizing Operations with Microsoft Dynamics 365 Business Central!

Solution
Working closely together, we migrated the organization from its legacy Navision ERP to Microsoft Dynamics 365 Business Central, creating a single, cloud-based platform to support core business and operational processes. The migration was completed within a few months and planned carefully to ensure continuity of work, with no disruption to ongoing activities. The solution focused on:
    1. One system across warehouses
Finance, accounting, inventory, sales, and procurement processes were brought together on a single platform used across national, state, and district offices.
    2. Less manual work
Routine workflows such as invoicing, payments, inventory updates, and compliance reporting were streamlined to reduce manual effort.
    3. Clear and timely reporting
Dashboards gave teams current views of transactions, budgets, inventory levels, and resource usage.
    4. Secure access from different locations
Authorized users could access the system securely from offices, field locations, and disaster-response sites.
    5. Integrated analytics
Microsoft Dynamics Business Central integrated with Power BI to support reporting and analysis related to monthly
Impact

After moving to Microsoft Dynamics 365 Business Central, the organization saw clear improvements across its operations:

    1. Unified cloud-based ERP
A single system now supports day-to-day activities across more than 1,200 branches.
    2. Improved visibility across operations
Real-time dashboards and automated reporting made it easier to track funds, stock, and resources, while supporting audit and compliance needs.
    3. Reduced manual effort
Workflow automation lowered the time spent on routine processing across finance and inventory teams.
    4. Support for remote and disaster-response work
Teams can access systems securely from multiple locations, including during emergency response activities.
    5. A base for future capabilities
The platform supports expanded reporting and analytics as organizational requirements continue to evolve.
Conclusion

By moving from Navision to Microsoft Dynamics 365 Business Central, the Indian Red Cross Society improved how key operations are tracked and managed across its nationwide network. The project reduced manual work, improved visibility, and supported consistent oversight across branches.

Building on this foundation, the next steps focus on expanding reporting, reviewing access controls, and using consolidated operational data to support planning and forecasting. Over time, the organization plans to explore advanced analytics to further support disaster preparedness and transparency in donation and resource management.
